Organization - Folders and Tags

As your automation grows, keeping hundreds of workflows, forms, and dashboards organized becomes essential. Floogos provides a unified folder and tag system that works consistently across all three modules:

  • Workflows — automation flows
  • Forms — data capture forms
  • Dashboards — visual data panels

Folders and tags are shared at the client level, meaning the same folder can contain items from any module. The Settings → Organization page is the central place to manage this structure.

Folders provide a hierarchical tree structure for grouping items by project, team, client, environment, or any other dimension that fits your workflow.

  • Width to your liking. Drag the right edge of the folder panel to make it wider or narrower (between 220 and 560 px). The width is remembered and is the same in Workflows, Forms, Dashboards and Templates. Double-click the edge to go back to the default width; with focus on it, the ← → keys adjust it.
  • Full names. If a folder has a long name and it gets cut off, hover over it for a moment to see the full name.
  • Actions on hover. The “New subfolder” and ”⋮” buttons appear when you hover a folder (or navigate with the keyboard) and sit on top of the name, so they take no space when you are not using them.

From the sidebar of any module (Workflows, Forms, or Dashboards):

  1. Click + New Folder at the top of the sidebar
  2. Enter a name for the folder
  3. Optionally select a parent folder to nest it

From Settings → Organization → Folders:

  • Full CRUD interface: create, rename, delete, and view item counts per module
  • Drag and drop: drag any item card onto a folder in the sidebar to move it
  • The folder accepts drops and assigns the item to it immediately

If a folder is selected in the sidebar when you create a new Workflow, Form, or Dashboard, the new item is automatically placed inside that folder.

This avoids the extra step of manually moving freshly created items.

  • Click any folder in the sidebar to show only items inside it
  • Click All (the root item) to return to the full unfiltered list
  • The selected folder is highlighted and its item count is shown

Each folder displays per-module counts:

Column in SettingsDescription
WorkflowsNumber of workflows in this folder
FormsNumber of forms in this folder
DashboardsNumber of dashboards in this folder

When a folder is deleted:

  • All items inside are unassigned (moved to root / no folder) — they are not deleted
  • Subfolders are also deleted recursively (their items are also unassigned)

Tags are free-form labels for cross-cutting classification. Unlike folders (single parent), an item can have multiple tags simultaneously.

Add tags when creating or editing any item:

  • Type a tag name and press Enter or comma to add it
  • Remove tags by clicking the × on any chip
  • Tags are stored as a JSON array per item

In the sidebar of any module:

  • Active tags appear as chips under a Tags section
  • Click a chip to toggle it on/off
  • When multiple tags are active, items must match all of them (AND logic)

From Settings → Organization → Tags:

  • See all unique tags used across Workflows, Forms, and Dashboards
  • Per-tag counts show how many items of each module use that tag
  • Note: tags are managed per-item; there is no global tag registry — a tag disappears from the list automatically when no items use it

Navigate to Settings → Organization from the left menu (under the Settings section).

  • Full folder tree with expand/collapse
  • Create, rename, and delete folders
  • Detail panel on the right shows selected folder name, item counts per module, and creation date
  • Deleting a folder warns that items will be unassigned
  • Table of all tags currently in use
  • Columns: Tag name, Workflow count, Form count, Dashboard count, Total items
  • Tags with zero items are automatically removed from this view

  • Use folders for structure: organize by project (Project Alpha), environment (Production, Staging), or team (Marketing, Operations)
  • Use tags for status or category: active, deprecated, needs-review, ecommerce, billing
  • Combine both: a workflow can be in the Marketing folder and tagged active + email
  • Keep the root tidy: avoid leaving dozens of unorganized items at the root level — create a folder early and auto-assign as you go
